Job Announcement: Administrative Assistant, Coalition of Communities of Color

Position Overview

The Coalition of Communities of Color (CCC) seeks a new member of its team to support the CCC Director and Staff in the performance of their duties and responsibilities including all required day-to-day activities, calendaring and scheduling, facilitating communications, coordination of meetings, drafting correspondence, monitoring and reporting expenses relative to the Director and Staff roles and other duties as required. This position is responsible for supporting the CCC in a variety of tasks, and will represent the CCC at all times in a professional and confidential manner.

Organizational Overview

The mission of the CCC is to address the socioeconomic disparities, institutional racism, and inequity of services experienced by our families, children and communities; and to organize our communities for collective action resulting in social change to obtain self-determination, wellness, justice and prosperity. Formed in 2001, the CCC is an alliance of culturally-specific community based organizations with representation from six communities of color: African, African American, Asian and Pacific Islander, Latino, Native American, and Slavic. The CCC supports a collective racial justice effort focused on improving outcomes in education and sustainable community development. We utilize the following strategies to advance our focus areas: policy analysis and advocacy, culturally-appropriate data and research, leadership development in communities of color, and racial justice movement building. Essential Functions

  • Assistance with scheduling and coordination of the Director’s work and engagement calendar.

  • Review and timely redirection of electronic mail and telephone.

  • Provide administrative assistance to the CCC and its committees including the management and coordination of the schedule of meetings; communications including preparation of agendas, reports, and minutes; and facilitating communication between the CCC, its committees and its Staff.

  • Manage planning and coordination of internal staff events and periodic community events.

  • Prepare draft as well as final correspondence in all forms including recognition, thank you notes/letters, e-mails, and other documents as directed.

  • Maintain and build CCC contact lists.

  • Update the CCC’s Facebook and webpage.

  • Host guests and visitors on an as needed basis to ensure they receive courteous and respectful attention.

  • Preparation of documents, materials and literature in preparation for the Director’s and Staff’s roles in meetings, speaking engagements and attendance at functions.

  • Provide adequate and appropriate information including specific details and meeting locations to ensure the Director’s timely attendance and attention to her daily schedule.

  • Attend appointments, meetings, and committee work in conjunction with or in the absence of the Director and Staff; maintain minutes, if/when requested.

Additional Duties
  • Assist in the coordination of publicity and media as directed by the Director.

  • Provide support in managing Director’s and Staff’s telecommunications and technology tools.

  • Maintain consistent and efficient file structures including physical and electronic systems.

  • Maintain accurate records of the Director’s and Staff’s business-related expenses and prepare reimbursement forms.

  • Process all invoices and prepare check requests.

  • Assist with special projects or event planning and coordination as needed.

  • Other duties as assigned.

    Preferred Qualities & Qualifications

  • High school graduation required; Bachelor’s degree strongly preferred.

  • Three to five years of professional experience performing similar job duties to those listed in this announcement.

  • Excellent multi-tasking abilities.

  • Articulate, diplomatic and responsive.

  • A high degree of professionalism and confidentiality due to the nature of this position and the level of responsibilities involved.

  • Excellent oral and written interpersonal communication skills.

  • Works well under pressure while having a sense of humor.

  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.

  • Exceptional computer skills including email and calendaring systems, word processing applications, spreadsheets, database creation and management, design and presentation programs, and Facebook.

  • Ability to work with diverse populations, specifically communities of color with representation in the CCC: African, African American, Asian and Pacific Islander, Latino, Native American and Slavic communities.

Hours & Benefits

  • Salary range: starts at $14.00 per hour or commensurate with experience.

  • The CCC offers a competitive compensation and benefits package including 80 hours vacation 1st year, 120 hours vacation 2nd year, 96 hours sick, 10 holidays, medical/dental/vision, Section 125 Cafeteria Plan Flexible Spending Account, Life Insurance and 401k after 1 year employment. This is a full-time non-exempt position.

Requirements: The Native American Youth & Family Center (NAYA) is the fiscal sponsor of the CCC. The work environment is 80% office, 20% outside office including travel time. Occasionally requires lifting or moving objects of moderate weight (a maximum of 30 pounds) and sitting for extended periods of time. Valid Drivers’ License, successful completion of a background investigation, and must be eligible to be an insured driver under NAYA’s liability insurance policy, and remain so during the course of employment. General working hours are 9am-6pm, flexible work schedule available upon approval; evenings and occasional weekends, as assigned. Some travel may be required. The position does not have supervisory requirements and reports to the CCC Director.
