Our mental health clinics seek to provide a safe and effective alternative treatment for depression and OCD with transcranial magnetic stimulation, a compelling option for those who have not had success with standard depression treatments like medication and/or psychotherapy. We opened our first clinic in NW Portland in 2017 and have rapidly grown to six locations across the Portland metro and greater Willamette Valley.

 

Active Recovery TMS is excited to announce that we are hiring an experienced full-time Area Clinic Manager (ACM) to support our six clinics in Portland and Vancouver. The ACM provides day-to-day oversight of the clinics and staff in order to ensure smooth operations of TMS treatments while meeting the needs of the patient population. Responsibilities include scheduling of providers and technicians, management of patient flow, overseeing building needs, and working with Active Recovery TMS’s Finance Director and third party biller to ensure timely and accurate billing. The ACM is the key staff person who maintains a strong relationship with clinical staff and providers. The ACM also works closely with senior leadership to communicate clinic needs, contribute to strategic conversations, and contribute to the overall success of Active Recovery TMS. They establish and maintain an operating environment that assures effective, efficient and safe operations of the practice that responds to patient, staff and clinician needs.

 

This full-time position reports to the Director of Finance and the Chief Medical Officer, and is based out of Active Recovery TMS’s corporate headquarters in Lake Oswego. Evening and weekend work are occasionally required.

ESSENTIAL DUTIES & RESPONSIBILITIES

 

Clinical Practice and Leadership:

 

Provide daily support to all clinic personnel

Assist with the development and implementation of policies, procedures and work standards to help the clinics meet organizational goals

Ensure that all policies and procedures function in accordance with state and federal laws

Ensures that all clinical staff is accurately notating patients’ electronic health records

Work with management and technicians to develop content for monthly Clinic Practice Management (CPM) meetings

Host monthly CPM meetings via video meetings or in person

Inspects the facilities to recommend building modifications or changes in processes to ensure employee and patient safety

Meet with Lead TMS Technicians weekly to review clinic goals:

TMS treatment and mapping metrics

Productivity per TMS Technician

Cancellation/reschedule metrics

Patient feedback and reviews

Clinic appearance

Safety

Other as needed

 

Personnel Management:

 

Direct supervision of Lead TMS Technicians

Recruit, hire and coordinate the training of new staff members

Assist with the development and implementation of compensation program and performance review process for TMS Technicians

Conduct reviews and provide constructive feedback to TMS Technicians on their performance to help them meet professional goals

Responsible for all clinic scheduling of technicians, manage time off requests, and ensure accuracy of timecards for all TMS Technicians

Develop and implement new hire training program for all TMS Technicians

Develop and implement quarterly CE training program for all TMS Technicians

 

Resource Management:

 

Understand future staffing requirements and create, execute and support clinical staff recruitment and retention strategies

Develop protocols and procedures to improve staff productivity

Must be willing to travel to multiple locations when necessary

Must be able to work normal weekday hours Monday through Friday, plus some evenings and weekends when necessary

 

REQUIRED EDUCATION & EXPERIENCE

 

Bachelor’s Degree in Healthcare Management, Business or related field

Two years of healthcare operations supervisory/management experience or three years of progressive relevant leadership experience. An equivalent and relevant combination of Master’s level education, fellowship or experience may be considered in lieu of total experience

 

PREFERRED EDUCATION & EXPERIENCE

 

Master’s Degree in Healthcare Management, Business or related field

Five years of progressive, relevant supervisory/management experience

Previous clinic/healthcare management experience.

 

SKILLS & QUALIFICATIONS

 

Excellent analytical skills and the ability to exercise sound judgement when making decisions

Strong leadership and management skills

Excellent organizational and time management skills

Great communication and interpersonal skills when interacting with clinical staff and patients

High emotional intelligence as evidenced by ability to evaluate/perceive a situation from multiple lenses and understand various perspectives in coming to problem resolution

Problem solving skills when resolving administrative issues and conflicts

Detailed knowledge of policies and regulations in the clinical field

Ability to supervise and delegate as required

Good understanding of budget and resources planning in addition to evaluation procedures and methods

Hands on skills in dealing with hospital computer systems such as EHR

$60k-$65k/year with potential bonus compensation of $15k-$20k/year
